Position Job Title: HR Coordinator
Location: Niagara Falls, Ontario, Canada
Reports To: Manager, Human Resources
Primary Purpose
The HR Coordinator is a key position which supports the human resources department to ensure the smooth administrative operations of the department. The HR Coordinator position is multi-faceted and has a wide range of responsibilities related to all HR functions, including HR department administrative support, payroll, employee onboarding, employee life cycle and HRIS administration, benefits, RRSP and compensation administration, reporting, records management, HR policy and compliance, and HR projects and initiatives.
The HR Coordinator interacts with a broad range of stakeholders, primarily employees and other HR team members. This position often operates as the first point of contact for employees interacting with the HR department.
Specific Responsibilities
The HR Coordinator will be responsible for the following, as well as other related duties as assigned,
- Supports the HR leadership team with HR administrative and operational support
- Supports planning and execution for HR events, training programs etc.
- Maintains HR files and documentation, ensuring accuracy and confidentiality
- Conducts and supports audits of HR and employee information
- Supports all employees with HR questions and information, acting as a first point of contact
- Maintains the HR Intranet (SharePoint) by updating and posting content
- Prepares standard documentation, materials and letters as required
- Schedules meetings and resources (space, catering etc.) for the HR leadership team as needed
- Assists with the onboarding of new hires
- Support employees with self-service administrative changes
- Tracks and process employee changes (positions, statuses, compensation, transfers, promotions etc.), maintaining accurate records of employee information in the HRIS
- Enters payroll adjustments (new hires, leaves, OT etc.) on a regular, timely and accurate basis
- Prepares bi-weekly payroll reports for RRSP contributions and reconciliation
- Performs 1st level bi-weekly payroll reconciliation to pre-approve payroll for manager review
- Facilitates new employee probationary review process administration with managers
- Prepares standard reoccurring and ad-hoc reports for HR leadership
Position Requirements
To be successful in the HR Coordinator role, an individual must possess, and be committed to developing, maintaining, and demonstrating the following:
Competencies:
- CHRP designation or working towards designation is an asset
- Proficiency with MS Office Programs (Outlook, Word, Excel, PowerPoint) is essential
- Strong written and oral communication skills and interpersonal skills with the ability to work with diverse stakeholders
- Strong problem-solving abilities, attention to detail/accuracy
- Bias for action and a customer centric orientation
- Self-starter with the ability to work both independently and collaboratively as part of a team
- Demonstrated sense of urgency, initiative and an ability to complete a high volume of deadline-driven work in a fast-paced environment
- Demonstrated commitment to cultivating a diverse and inclusive environment
- Ability to maintain confidentiality over sensitive information and documentation
- Previous experience within a start-up environment or experience in building HR programs/processes is an asset
- Flexibility to work overtime outside of regular hours (evenings and weekends) to support the needs of the University
Education and Experience:
- Bachelor’s degree in human resources, Business Administration or a related field
- 2 years of HR administrative experience, preferably in an academic or higher education environment
- Experience with HRIS and payroll systems is required (ADP WFN is preferred)
